The Scanning Process

Carefully scanning old, rare, maps, plans, artwork, paintings and other large format media is an art that must be done with experienced skill and with due respect for the medium being handled. Our scanning operators are fully trained and highly experienced in the scanning of all old and fragile document types using gloves, document rests and specialist scanners.

The documents are treated with care through the use of specially adapted cradles that self-compensate, creating sharp, flat images without causing further derioration of the media. There is no contact with the camera and the cool light source ensures that there is no heat damage.

Our scanning systems enable us to set de-skewing functions, brightness, contrast, programmable margins, auto-cropping, auto-masking and white page detection. We can also digitally repair the images using our specialist graphical software.

Sheet sizes for A4, A3,A2, A1, A0 (and any size greater than A0+) in the metric system and Size A, B, C, D and E in the old imperial system are all scanned  by us.  

Our high resolution large format flatbed scanners allow us to scan drawings and maps upto an amazing 800 dpi resolution, which allows us to capture even the smallest possible detail. The scanners we use are amongst the most sophisticated on the market and have both top and bottom illumination which gives excellent image quality from standard paper to roll film, microfiche, transparency, aperture cards and tracing sheets.

Archiving & Output

Successful reproduction of the large media during the scanning process is generally followed by an archiving process that involves writing the scanned images to a secure long-term medium for disaster recovery, reproduction or for general viewing purposes.

A long-term medium may take the form of a CD-Rom or DVD, or perhaps writing the files directly to a networked server. The images can also be written to transparencies or microfiche.

In addition to these output forms, Datafind also offer a full reproduction service where we are able to reprint the maps, artwork and documents onto papers that exactly match the originals if you wish.

Repairs

Once the media has been scanned we are able to perform digital repairs on the scanned images... we can remove rips and tears, replace faded text and remove smudge ink... making the document look like the original again.

Graphical Software & Training

Burial Map Scanning

Our Burial Office clients use maps in order to locate burial or cremation plots within their cemeteries and crematoriums. Due to the size of their grounds, these maps are often large - or are split into many sections and pages. Some of the cemeteries and crematoriums have plots that date back to the 1800's - and so the maps are often old and fragile. These maps can sometimes be used on a daily basis, and so they are quickly deteriorating. There is often only one copy of these maps - which makes them very valuable.

Using our map scanning service we have come up with a solution which means that we can enhance and then archive these maps to cd-rom, which means they can be viewed and printed over and over again without any further deterioration.

Our service means that we will:

1) Take away the maps. The maps are important and they are treated with respect in an insured and clean environment.

2) Having scanned the maps they are returned to the client immediately (normally within just a few days) so that our client can continue to use them. If a client needs to locate plot information whilst they are in our possession then we will help.

3) If any of the scanned map images need enhancing then using our specialist software we are able to:

  • Remove rips and tears
  • Remove smudged ink, finger marks and blemishes
  • Replace any difficult to read text

4) The maps are supplied back to our clients on cd-rom which means they can be displayed on our clients computer or printed out as many times as they wish. We also keep a secure library stock of the cd-rom's, and so should our clients copies go missing, or become destroyed we can simply replace them.

We are also able to scan and archive your burial/cremation registers, books and indexes.

Our Burial Office clients use many forms... from Ownership Deeds to Exhumation Notices to Grave Testing Forms. Using our Document Management service we are able to 'bulk scan' all of these documents making them easily accessible from any desktop.

Artwork Scanning

Having purchased an original and valuable oil painting from a well known artist, a local Art Collector approached Datafind with a view to scanning the canvas. Datafind scanned the artwork and provided the image back to the Art Collector on CD. The image, scanned to the highest resolution, can now be scaled and reproduced.
