What is CMS?

Since 2002 we at Datafind Services have been supplying scanning and archiving services to burials and cremations offices throughout the UK.

One of our services has been Software Development to allow quick and easy access to old historical records and images either locally or over the internet. This has meant the development of databases that are tailored to the individual Cemetery or Cremation office.

Since 2003 we have been receiving requests from our customers asking us to turn their databases into an Administration System. Their requests have varied but most have said that they would like an Administration System that offered ‘more’ than the other Administration Systems on the market. They also asked if their new system could be better supported than the level of service currently offered by other Administration System providers.

Cemeteries Management Suite is the result of all of these requests.

CMS Pro and CMS Lite

Datafind offer two versions of CMS - Professional and Lite.

The Professional Version has a great deal of functionality and is aimed at the larger councils.

The Lite Version has only a small amount of functionality and is aimed at the smaller town and parish councils.

Both the Professional and the Lite Versions can incorporate our Clickable Maps Software. To see a live demonstration of CMS Lite with Clickable Maps Click Here.

Why isn't the word 'Administration' part of the Software Name?

Datafind’s Software Development Team have worked with Councils to produce a Suite of modules to enable all of the ‘usual’ administration functionality you have come to expect from an Administration System with ‘management’ functionality too.

CMS is “Not Just Another Administration System” - read on to find out why…

CMS Background

CMS has been developed without any preconceived ideas as to what a Cemetery Management System should look like or do.

It has taken almost 2 years of discussions with our customers to provide CMS as a solution to your needs.

At Datafind we feel the need to always exceed our customers expectations and by developing a suite of modules that can fit together as they do we believe that we have achieved this.

Our experience in the provision of web based software and databases for councils has proved invaluable in the development of CMS.

CMS is a 'Fully Hosted Solution' which means:

· Information can be accessed off-site
· Password protection gives added security
· Support issues can be resolved remotely
· Upgrades can be done remotely
· Other users (funeral directors, the public) can be given limited access
· All updates are done in real-time and therefore speeding up memorial testing
· There are no ‘capital outlay’ costs to the council. Any PC that has an internet connection can access CMS

Datafind Services have chosen to build CMS as a hosted solution with the simple aim of saving customer time and cost and to make the whole process of running and administrating your system easier and more efficient.

CMS is Feature Rich:

· Easy entry of new records
· Easy entry of historic records
· Easy export of records
· Easy to deploy records to a website for the public to view
· Fast grave and genealogy searches
· Real time memorial testing
· Rapid configuration/customisation
· Fully mobile/portable solution
· Latest technology
· Modular

"Not Just Another Admin System"

· The look and setup of your system can be changed according to your requirements.
· There are mandatory fields for new burials and cremations, however historical records can be entered with fewer restrictions.
· Scanned images of your old record books can be tagged to your records.
· Photographs, word documents and any other files can be tagged to your records.
· Funeral Diary linked to Resource Diary showing Staff Holidays, Meetings etc.
· Integrated clickable maps – see your map on screen, click on a plot and see information relating to that plot.

Does CMS have any limitations?

No. Unlike some Administration Systems, CMS is scaleable which means it can be configured to cater for any number of users and any number of records.

Is CMS Expensive?

No. CMS offers more functionality than any of the other products on the market and yet is priced at a level that is comparable or lower than most of them.

Can we trial CMS?

Yes. Infact Datafind Services would encourage any council to trial their chosen package.

Whilst a package may offer all of the functionality that is required by the council, there are other considerations that can only be tested once the system is implemented:

· Can it cope with a high number of staff accessing the system at the same time?
· Can it cope with many hundreds of thousands of records?

What our Clients Say:

“In Datafind we have found a company that seems to fully understand our needs. We have used them for book scanning, back data entry, map scanning, encapsulated maps, book binding and re-binding and they have even supplied us with a remote access system in less than a week. Each and every service has been carried out in a most friendly and professional manner.”

Bob Langford (Director)

Brent Council

It is good to find a company that provides a unique service such as this. Not only that, but a company that is reliable and works with the customer to provide an "individual" service that meets the needs of the customer exactly.”

Andy Frost

Lewes District Council

”Capturing the records from our registers and then accessing them online via a secure database has meant we can locate records in seconds rather than hours. The database is fast and is fully integrated into our own website. Datafind provided the complete system within budget and on time. It has made a significant difference to us”.
