The Scanning Process

With the latest advances in both scanning and printing technologies it is now possible to create electronic copies of old books that can be printed on demand in whatever quantities required. We have sophisticated in-house systems that can scan the pages of an open book, correct the image to allow for the curvature of the page and format it for printing as a new book. The fragile books are treated with care through the use of book cradles that self-compensate, creating sharp, flat images without causing further deterioration of the book.
There is no contact with the camera and the cool light source ensures that there is no heat damage.
Our scanning systems enable us to set de-skewing functions, brightness, contrast, programmable margins, auto-cropping, auto-masking and white page detection. We can also digitally repair the images using our specialist graphical software.
Carefully scanning old, rare, fragile books is an art that must be done with experienced skill and with due respect for the medium being handled. Our scanning operators are fully trained and highly experienced in the scanning of all old and fragile document types using gloves, book rests and specialist book scanners.
Microfiche and Microfilm Scanning
Many organisations have scanned their valuable books to Microfiche and Microfilm which is an excellent long-term archiving medium.
Unfortunately, scanning to fiche and film means that the images are not readily accessible (you need a Fiche/Film reader). It also means that these images are not easily manipulated and cannot easily be retrieved and placed onto other output mediums like the internet.
Fortunately, Datafind Services are able to scan Microfiche and Micofilm and produce digital images (.tiff and jpegs). We are able to index them and place them onto CD-Rom with our own Book Viewing Software.
And here's the good news... it is generally cheaper to scan microfiche and microfilm records than it is it scan the originals!
The only 'down-side' to scanning microfiche and microfilm is that the scans 'may' be of a poor quality. However, Datafind are able to perform some 'quick' checks to view the quality of the images and provide appropriate advice.
Archiving & Output
Successful reproduction of the book pages during the scanning process is generally followed by an archiving process t hat involves writing the scanned images to a secure long-term medium for disaster recovery, reproduction or for general viewing purposes.
A long-term medium may take the form of a CD-Rom or DVD, or perhaps writing the files directly to a networked server. The images can also be written to transparencies or microfiche.
In addition to these output forms, Datafind also offer a full reproduction service where we are able to reprint the books and documents onto papers that exactly match the originals.
Book Viewing Software
Datafind are able to 'index' each page into a database during the scanning process. This enables pages throughout a book or set of books to be searched and retrieved instantly. You can find out more about the software by clicking here.

Burial Register Scanning
Our Burial Office clients use books, registers & indexes in order to locate burial or cremation plots within their cemeteries and crematoriums. Due to the size of their grounds, these books are often large - or are split into many sections and pages. Some of the cemeteries and crematoriums have plots that date back to the 1800's - and so there can be many books. Because of the age of the books they are often very fragile. These books can sometimes be used on a daily basis, and so they are quickly deteriorating. There is often only one copy of these books - which makes them very valuable.
Using our book scanning service we have come up with a solution which means that we can enhance and then archive the pages from these books to cd-rom, which means they can be viewed and printed over and over again without any further deterioration.
Our service means that we will:
1) Take away the books. The books are important and they are treated with respect in an insured and clean environment.
2) Having scanned the books they are returned to the client immediately (normally within just a few days) so that our client can continue to use them. If a client needs to locate plot information whilst they are in our possession then we will help.
3) During the scanning process we are able to index the pages of the books for each retrieval through our book viewing software. 4) The books are supplied back to our clients on cd-rom which means they can be displayed on our clients computer or printed out as many times as they wish. We also keep a secure library stock of the cd-rom's, and so should our clients copies go missing, or become destroyed we can simply replace them.
5) Should all of your data need to be captured (typed) into a database via back data entry then our typists are able to do this from the scanned images.
6) Should your data need to be viewed via a website or via a web-enabled database then we can do this for you too. We are also able to scan and archive your burial maps .
Our Burial Office clients use many forms... from Ownership Deeds to Exhumation Notices to Grave Testing Forms. Using our Document Management service we are able to 'bulk scan' all of these documents making them easily accessible from any desktop.
